CRM & Lead Flow

Your lead follow-up should be frictionless.
Automation that responds before you check your phone.

A CRM is not a contact database. It is the engine that makes sure every lead gets a consistent, timely response, is routed to the right person, and moves through your pipeline on logic, not luck. RevX builds that engine on a single connected platform.

Connected CRM · Speed-to-lead · Full attribution · No hand-holding required

The Problem

Speed-to-lead is the single biggest lever you're not pulling.

Most businesses have a CRM. Most of them are not using it as a follow-up engine. Leads come in from ads, forms, referrals, and social. Someone checks the inbox. Eventually. Maybe the same day.

By then, the lead has already heard back from a competitor. The contact window is measured in minutes, not hours. Manual follow-up cannot win that race. A properly built CRM system can.

  • Leads fall through the cracks because no one owns the follow-up process
  • Your team is doing repetitive manual tasks that should run on logic
  • You cannot tell which campaigns, channels, or sources are producing closed deals
  • Nurture sequences exist in someone's head, not in a system
21x
Leads contacted within 5 minutes convert 21 times better than leads contacted after 30 minutes. Speed-to-lead is not a nice-to-have. It is a revenue multiplier.
5 min
The contact window. A properly automated CRM responds in seconds. No one on your team has to do a thing. The lead hears from you before they move on.
100%
Every lead captured, tagged, and routed automatically. No lead falls through. No follow-up depends on someone remembering to check the inbox.
How It Gets Built

Four stages. One connected lead flow system.

RevX builds your CRM into your marketing system in four stages, each one feeding the next. You end up with a pipeline that runs itself.

1

Customer Activity Tracking

Every touchpoint captured: website visits, form submissions, email opens, link clicks, and call outcomes. Your CRM knows what a lead did before anyone talks to them.

2

Automatic Tagging and Routing

Leads are tagged by source, intent, and behavior the moment they enter the system. Routed to the right person or pipeline automatically. No manual assignment, no inbox triage.

3

Follow-Up Workflows

Email and SMS sequences that run on logic: speed-to-lead responses, multi-touch nurture sequences, stale-lead reactivation, and handoff triggers when a lead is sales-ready.

4

Reporting and Attribution

See where leads come from, how they move through the pipeline, and what converts to closed deals. Attribution from ad click to signed contract, not just form submission.

What Gets Built

The full lead flow stack. Nothing left to chance.

These are the components RevX configures inside your CRM platform and the integrations that connect it to the rest of your stack.

Speed-to-Lead Automation

Instant SMS and email sent the moment a form is submitted. Timed follow-up sequences that run for days without anyone touching them. First contact in under 60 seconds.

🌍 Lead Source Attribution

UTM tracking connected to your CRM contacts. Know which ad, campaign, and channel produced each closed deal, not just each lead. Budget decisions built on real data.

🌏 Pipeline and Stage Automation

Pipeline stages that trigger actions automatically: notify the rep, send the next message, update the contact record. The pipeline moves on behavior, not on manual updates.

📩 Nurture Sequences

Multi-touch email and SMS sequences for leads that are not ready to buy today. Timed, segmented, and personalized based on source and behavior. Keeps your brand in front of the right people.

📋 Tagging and Segmentation

Contacts tagged by source, intent, product interest, and engagement level. Your lists stay clean. Your messages stay relevant. The right offer goes to the right person.

📈 Dashboards and Reporting

CRM dashboards configured to show what matters: contact rate, conversion rate by source, pipeline velocity, and revenue attribution. Delivered on a schedule if needed.

👥 Team Routing and Notifications

Round-robin assignment, territory routing, or skills-based routing. Your reps get notified instantly on the right channel. No lead sits unassigned.

🔗 Third-Party Integrations

Connect your CRM to your ad platforms, website, booking tools, payment processors, and reporting stack. The CRM sits at the center of a system that flows in both directions.

Platform Choice

One connected platform beats a stack of tools.

RevX builds CRM and lead flow systems on a single connected platform that handles the full stack without duct tape: CRM, pipeline, email, SMS, booking, landing pages, forms, and automation in one system.

Most CRM problems are not CRM problems. They are integration problems. When the form, the follow-up, the calendar, and the pipeline all live in different tools, things break in the gaps. A single connected platform removes most of those gaps by design.

We configure it for your business, connect it to your existing stack, document it completely, and hand it off running. You do not need a developer to maintain it.

The typical setup
  • CRM in one tool, email in another
  • Forms stitched together with connectors (which break)
  • Follow-up sequences nobody remembers to update
  • Attribution guesswork in a spreadsheet
  • No one owns the system when the admin leaves
The RevX build
  • CRM, pipeline, email, and SMS in one platform
  • Native connections, nothing fragile to break
  • Sequences documented and version-controlled
  • UTM-to-closed-deal attribution baked in
  • Handed off with documentation your team can follow
Engagement Options

Three ways to get your CRM and lead flow built.

Most CRM projects start with the Systems Audit to map the system before building it. From there, the scope is clear and the build is fast.

⚙️

CRM and Lead Flow Build

Full implementation from the Systems Audit scope: CRM configuration, pipeline setup, tagging and routing logic, follow-up sequences, attribution tracking, and team notifications. Documented and handed off running.

Includes 30 days of post-launch support so the system is stable before you are on your own with it.

Project-based · Scoped from the Systems Audit
🔄

Ongoing Automation Retainer

Your lead flow system grows as your business does. New lead sources need new sequences. New products need new pipelines. A retainer keeps the system current without a new project scope every time something changes.

Hard cap on retainer clients. One engineer, limited spots. Availability opens as existing engagements wrap.

Monthly retainer · By application · Limited spots
The Process

Scoped before it is built. Handed off running.

Free Discovery Call

Walk me through your current lead flow: where leads come from, how they are handled today, and where things fall apart. Twenty minutes. No pitch. You walk away with a clear picture of what the system needs.

2

Systems Audit

A structured map of your full lead flow. Every stage from first touch to closed deal. Gap analysis, prioritized build list, and time and cost estimates. The $450 investment that makes the build go fast and right.

3

Build and Configure

Your CRM configured to the spec from the Systems Audit. Sequences written. Routing logic built. Integrations connected. Every component tested before go-live. Typically two to four weeks depending on scope.

4

Handoff and Stabilize

Full documentation delivered. Your team trained on the system. Thirty days of post-launch support to catch anything the first month of real traffic surfaces. Then it runs without RevX if you want it to.

Common Questions

Things people ask before they start.

We already have a CRM. Can you work with what is there?

Yes. The Systems Audit reviews your existing setup, documents what is working and what is not, and the build fills the gaps rather than starting over. In most cases there is a solid foundation to build on, just missing the logic layer that makes it run automatically.

We use a different CRM. Will you work with that?

It depends on the platform. RevX builds primarily on a single connected platform because it handles the full stack natively. If you are on another CRM, we can scope the work after the Systems Audit. Some builds are straightforward across platforms; others are better handled by moving to the platform RevX recommends. We will tell you honestly which applies to your situation.

How long does a typical build take?

Two to four weeks for a standard lead flow build scoped from the Systems Audit. Complex builds with multiple lead sources, multi-rep routing, and deep third-party integrations can run longer. The Systems Audit produces a realistic timeline before any build begins.

Do we need to be technical to run the system after you hand it off?

No. The platform RevX builds on is designed for non-technical users on the day-to-day. The documentation RevX delivers covers how to update sequences, add contacts, read reports, and handle the most common maintenance tasks. Your team does not need a developer to keep it running.

What does the attribution tracking cover?

UTM parameters captured on every lead source and tied to the CRM contact record. You can see which ad, campaign, and channel produced each contact and, once deals close, which sources produce closed revenue rather than just lead volume. This is the data that makes ad budget decisions defensible.

Is the Systems Audit required before a build?

Strongly recommended. Builds scoped without one tend to miss things, add scope mid-project, and cost more in the end. The Systems Audit produces a clear spec that makes the build faster, cheaper, and more likely to solve the actual problem rather than the symptom.

Why RevX

You talk to the person who builds it. There is no junior team behind the scenes.

Erick Magnuson is the founder of RevX Growth Technologies, a marketing systems architect with nearly 30 years in technology. Every CRM and lead flow build is scoped, configured, and handed off by the same person. No account manager between you and the work. No context lost in handoffs.

RevX runs its own systems on the same stack. The lead flow, nurture sequences, and attribution reporting that RevX uses internally are built on the same connected platform RevX recommends to clients. When we recommend a platform or a configuration, it is because we run it ourselves, not because it is the easiest thing to sell.
